If the usual multi-day event wasn’t enough for fans, Coachella 2012 will span two weekends (13-15) and (20-22) with a myriad of musicians (120+) scheduled to play at the event. Coachella Festival passes go on sale this Friday, January 13th at 10am PST and cost $285 each.

The Coachella festival, originally started in 1999, is traditionally held during the third or fourth weekend at the Empire Polo Club in Indio, Claifornia. Organizing a Music Event within a Budget

Organizing a music event can be fun, but if you are given the task of putting a show together, keeping your eye on the bottom line is still important. You can plan all you want but it will all boil down to your expenditures and how far you can get each dollar to take you. A few useful tips for organizing a good event with the time and money you have:

Tip 1 – Ask the right questions:

There are a plenty of questions that come to your mind, for example, how can you organize a music event? Or how can you find venue where you can hold that music event? How much do you need to pay for decorations and marketing? How can you arrange for a PA? How can you collaborate with local businesses to help alleviate costs? How soon ahead of time can you afford to start publicizing the event to get the right audience (and a lot of them) to show?

Ahead of all of these concerns, your budget has to take number-one priority, but getting these questions down now, at the beginning, is still a must. Think of it this way: you absolutely need to make sure that you are giving yourself the tools you need to budget your even wisely, and tracking every issue is important.

Tip 2 – Track everything

The benefit of creating a spreadsheet is that nothing gets forgotten, and you can minimize the chance of missing a task or forgetting to cover all bases. For each task or idea, note down:

  • Timelines
  • Contact info for the contacts involved
  • Projected costs
  • Factors that might affect the costs
  • Risk factors that might prevent that task or issue being resolved properly

As you go through your ideas for marketing and the steps you plan to take to set the venue and market the event, your spreadsheet will also help you track how close you are to your break-even point and which areas you need to push harder on to improve your projected profit.

Aside from  your marketing ideas, do not forget to include all the costs and the income factors that are associated with the music event itself. Include the cost of the performers (their fee for the performance, plus lodging and any other peripheral costs), your PA, lighting and other cosmetic adjustments to make the scene more enjoyable, the cost of renting a venue, the marketing that you want to do in order to attract more audience, sponsorship enticements, and the costs of contests, giveaways, and any other promotional events you do beforehand, to name just a few.

In the end, putting together a music event does not have to be a complicated ordeal, but planning right, budgeting wisely, and keeping your budget the priority will help dramatically with your efforts to minimize the stress factor and help your event succeed.

How to Prepare for SXSW Music

South by South West, also referred to SXSW, is a three part conference and festival that includes interactive, film, and music. It is a weeklong event that takes place annually in Austin, TX. SXSW Inc. is a private owned company that is headquartered in Austin that works all year to get the best lineup of musicians, actors, and media industry professionals. The first festival took place in 1987 and has been going strong and growing in attendance every year. How should you prepare for such a big event? Here are some tips for preparing for the SXSW five days of music portion of the festival.

If you are traveling from out of town, the first step is to book your hotel and travel arrangements. Hotels in the downtown area, where the festival takes place, fill up in advance. Making your hotel arrangements should be done first and early. There are a lot of places to stay downtown so that you can walk to different music shows. If you stay somewhere that isn’t of walking distance, you can arrange to rent a vehicle or take a taxi cab. The cabs are very busy during the week so renting a car may be more convenient. There are a lot of Pedi-cabs, bicycle driven buggies, which can take you around downtown.

Once you know where you are going to stay you can start packing. You will need comfortable walking shoes because you will be walking around the many different venues to check out as many shows as you can fit in during the week. You will also be standing and dancing a lot throughout the festival. Dress comfortable yet trendy. There are a lot of day parties and dinner parties, so it’s good to pack a few really nice outfits. Most importantly, you want to be comfortable. Austin has really great weather in March and you can expect the temperatures to be in the 70s.

Before you head down to the festival, you should look at the music schedule to see who is playing and where and when they take the stage. Music starts during the middle of the day and lasts until two in the morning. There are a lot of up and coming bands, and bands from all over the world at SXSW. You can listen to the bands’ online music to hear if you are interested in seeing them. Take advantage of the music lineup and research some of the bands and venues. If you want to be more spontaneous, you can walk around downtown and listen to the bands from the street. Once you hear a sound that you like, show your badge and walk into the bar or music venue where the band in playing.

If you stay out from noon until the early morning hours, be sure to stop and eat lunch and dinner. You want to have enough energy to walk around and check out as much music as you can fit into the day. It is also very important to stay hydrated. There will be a lot of free alcohol at the events and different venues, but be sure to switch up the alcoholic drink for some water. Please remember to follow all drinking laws and be safe. Austin has great barbeque and Tex Mex restaurants, so if you are interested in local cuisine, talk to your hotel concierge or do some research online for great eats you may want to try.

ACL and other Big US Music Festivals

A few weeks ago, the Austin City Limits Music Festival took place in Austin, TX drawing in crowds of more than 65,000 people a day for the three day festival. The lineup included more than 130 bands that played nonstop for three days on eight different stages. The bands range from hip hop, to folk, to rock, to other types of music genres. It is a three day festival where music lovers meet up to enjoy the sounds of up and coming stars as well as classic bands. This year at ACL, Pearl Jam was the headlining band and they brought together people of all ages to rock out and enjoy the sounds of amazing music. Free Internet radio was lucky to have had a presence at the festival and gave live Twitter updates and accounts from the day with micro blogging. Besides ACL, there are other big music festivals in the U.S. such as Bonnaroo, Lollapalooza, and Coachella. The music festivals promote good music and showcase bands that have proven to be worthy of radio hits or have produced hits that have made them key players in the music industry.

Bonnaroo takes place every year in Manchester, TN at the 700 acre Great Stage Park. Similar to ACL, the festival has food and drink vendors, retailers, and other attractions at the festival. Bonnaroo first took place in 2002 to feature jam bands and has since expanded their horizons to include bands from all types of music genres. The festival can last between four and five days and goes nonstop. They have tents set up with bands and even comedy acts to entertain the crowd all day and night.

Lollapalooza is another annual music festival. The three day festival takes place in Chicago at Grant Park and features rock bands. What makes this festival different from others is that it acts as a platform for political and non-profit groups. Originally Lollapalooza was supposed to be a farewell tour for the band Jane’s Addiction until the lead singer Perry Farrell partnered with C3 to start a music festival. The festival almost didn’t make it and has had some ups and down. It was an annual festival from 1991 until 1997 and then didn’t start back up again until 2003. Lollapalooza was down for two years and then restarted as an annual festival in 2005 and has continued to go on strong every year. This festival features rock bands and caters more towards that music genre.

Coachella Valley Music and Arts Festival, another annual festival, takes place in California at the Empire Polo Fields located in Indio. Besides being a musical influence, the festival also showcases art. Coachella features all types of music genres but focuses on bands with alternative, hip hop, and electronic influences. What makes this festival unique is that it offers an area for attendees to camp out during the weekend. Like ACL, it has one main stage for headlining bands and a number of other stages for bands to perform on.
